How dental practices stop losing new patients to voicemail
New-patient calls are your most valuable calls — and they're the most likely to hang up if they can't reach someone. Here's how dental practices are solving this.

The new-patient problem in one sentence
A new patient who calls your practice and gets voicemail will, in many cases, call the next dental office in their search results — and you never find out.
The call that prompted the search was probably a real intent signal: insurance just kicked in, a tooth started hurting, their kid needs a first checkup. The motivation is there. What's missing is a live response.
When missed calls happen
For most dental practices, the calls most likely to go unanswered fall into a predictable pattern:
Lunch (11:30 a.m.–1:30 p.m.)strong: Staff is at lunch, or the front desk is handling the post-morning rush of checkouts.
Early morning (before 8:30 a.m.)strong: Practice opens at 8, but front desk may not be staffed until later. Motivated new patients call early.
After hoursstrong: People with a toothache don't feel it only during business hours. Calls that come in at 7 p.m. go to a voicemail box that gets checked the next morning.
In all three cases, the call goes to voicemail. Some callers leave a message. Many do not.
What the front desk is dealing with
It's important to acknowledge that this isn't a staffing-effort problem. Front desk staff at dental practices handle a high volume of concurrent tasks: checking in arriving patients, processing payments, answering existing-patient questions, handling insurance verification calls. Adding "never miss an inbound call" to that list isn't realistic during peak periods.
The question is how to ensure those calls get answered without adding headcount or creating a worse experience for the callers who reach voicemail.
The AI front desk setup
Here's how Ava, Televox's AI front desk for dental practices, handles the new-patient call flow:
Greetingstrong: Ava answers with the practice name and asks how she can help. For first-time callers, she identifies them as new patients early in the conversation.
Insurance questionstrong: "Do you take Delta Dental?" — answered directly from the uploaded knowledge base. Ava knows which insurers the practice accepts and whether they're in-network, and answers consistently without putting the caller on hold to check.
Appointment bookingstrong: Ava checks live availability through the calendar you connect (Cal.com, or your scheduling system via a custom API action we set up during onboarding) and offers the caller confirmed slots. No "I'll check and call you back."
SMS intake linkstrong: Once booked, Ava texts the patient the appointment confirmation, the practice address, and a link to complete the new-patient intake form before arrival.
EHR recordstrong: The structured new-patient data (name, DOB, insurance, reason for visit, appointment ID) is posted to your system via an outbound webhook.
Compliance note (honest)
Televox is not HIPAA-certified and cannot yet sign a Business Associate Agreement (BAA) — both are on our roadmap. Call recording is off by default and set per practice: when it is on, Televox stores the call audio and a verbatim transcript; when it is off, the transcript and call metadata are still stored. Anything a patient says on a call can end up in that transcript, so practices handling Protected Health Information (PHI) should not rely on Televox for it until a BAA is available. Your data is isolated to your workspace with row-level security and is never sold or shared. We will update this page honestly when our compliance posture changes.
What this doesn't solve
AI front desk works well for the structured cases: new-patient booking, insurance questions, scheduling. It doesn't handle complex billing disputes, clinical triage beyond basic urgency, or nuanced situations that require a trained staff member's judgment. For those, Ava warm-transfers to the appropriate person — or takes a message and schedules a callback.
The goal isn't to replace front desk staff. It's to ensure that the calls that can be handled without a human get handled — so staff time is available for the calls that need it.
