Most owners don't know how many calls they miss

If you ask most plumbing shop owners, restaurant GMs, or dental office managers how many calls went to voicemail last month, the honest answer is usually: "I have no idea."

That's the first problem. The second problem is that even when owners suspect they're missing calls, they underestimate what each missed call is actually worth.

The simple math

The ROI calculation has three numbers:

1. How many calls come in per daystrong. This is a number you can get from your phone carrier or call-tracking system in about five minutes.

2. What percentage go unansweredstrong. Voicemail, missed calls, hangups before anyone picks up. Industry data suggests this is higher than most owners think during peak hours and after hours.

3. What the average booked job is worthstrong. Not per call — per convertedem call. For a plumber, this might be $300–$500 for a service visit. For a dental practice, a new patient might be worth significantly more in lifetime value. For a restaurant, a missed reservation at a Friday-night table for four is a concrete, calculable loss.

Multiply: (calls/day) × (missed %) × (job value) = daily revenue walking out the door.

Run that number for your business, then multiply by 30 for a monthly figure. Most owners who do this math for the first time are startled by the result.

Why the missed-call rate is higher than you think

For most local service businesses, calls are most likely to be missed at exactly the wrong times:

Technicians are on jobsstrong and can't pick up the phone while they're under a sink, on a roof, or in a patient exam room.

After-hours and weekendsstrong — which is when many emergencies happen and when customers who work regular hours finally have time to call.

During the lunch rushstrong and other peak periods when your staff is already at capacity.

In each of these situations, the caller doesn't leave a detailed voicemail and wait patiently. More often, they hang up and call the next business in their search results.

What to do about it

The two approaches most businesses use are (1) hire more reception staff, or (2) use a virtual receptionist or answering service. Both work to some degree. Start with your call logs from last month. Count total inbound calls, then count how many connected to a live person. The difference is your missed-call rate. Multiply by your average job value. That's the floor of what this problem costs you.

Most owners who run this exercise find that the gap is large enough to justify addressing it — regardless of which solution they choose.
